The Opportunity
Reporting to the Manager, Donor Engagement, the Donor Engagement Coordinator is an integral member of our Philanthropy & Donor Engagement Team, providing essential administrative and database management support. This role is key to ensuring the accurate and timely entry and management of donor information, ongoing data maintenance, report/receipt generation, and the development and delivery of donor related communications/correspondence while also supporting various donor-related activities.
Key Roles & Responsibilities:
- Database Administration and Reporting:
- Ensure accurate and timely data entry for donor accounts including donations, gifts and contact information.
- Maintain up-to-date donor records, ensuring accuracy and compliance.
- Assist with the preparation and distribution of donation receipts and acknowledgment letters.
- Provide practical database support to all Philanthropy & Donor Engagement staff.
- Prepare and organize Philanthropy & Donor Engagement records, documents, receipts and reports for off-site storage.
- Programs and Events Support:
- Support delivery of the ECF Donor Recognition Program, including donation data management and reporting and the development and delivery of program communications/correspondence.
- Collaborate with the Programs & Events Specialist to support the planning and delivery of Philanthropy & Donor Engagement programs and events.
- Provide general assistance and support for ECF programs and events to ensure a positive engaging experience for attendees.
- Administrative Support
- Schedule and document appointments and meetings for the team.
- Prepare meeting agendas and ensure all necessary materials are ready.
- Handle phone inquiries and provide follow-up or referral as necessary.
- Prepare general correspondence, reports and other necessary. documentation related to donor engagement activities.
- Prepare and update Professional Advisor and Donor information packages.
The Ideal Candidate
As the ideal candidate, you will possess the following qualifications:
- A university degree combined with 1-2 years of directly related administrative experience in areas of philanthropy, donor relations/engagement, donor administration, fund development or community engagement; equivalent combinations of related post-secondary education and directly related work experience will be considered.
- Excellent skills in Outlook, Microsoft Office (including Word and Excel) combined with experience utilizing and/or administering customer relationship management (CRM) applications or databases.
- High degree of service orientation combined with the ability to communicate and interact professionally with a diverse range of people.
Additional requirements include:
- Strong interpersonal skills with a friendly, welcoming and professional demeanor.
- Exceptional verbal and written communication skills.
- Superior ability to prioritize and manage multiple tasks.
- Excellent skill and proficiency with desktop applications (e.g. MS Office).
- Demonstrated skill and experience in utilizing customer relationship management (CRM) databases/applications (e.g. Salesforce).
- High degree of initiative and ability to work effectively as part of a team and independently with little supervision.
- Ability to maintain a positive and proactive approach while adapting to new challenges.
- Excellent keyboarding skills with high degree of accuracy.
- Demonstrated ability to professionally and accurately create reports, correspondence and other documents.
- Exemplary client service orientation.
- Strong analytical and problem-solving skills with attention to detail.
- Some flexibility to work evenings and weekends as required for event execution.
- Experience with Salesforce and Canadahelps technology applications is preferred.
- Experience in a non-profit or charitable environment is an asset.

- Salary Range: $48,000-$65,000/year.
- A 35-hour standard work week.

- A hybrid work environment where employees collaborate on site a minimum of 3 days per week with the flexibility to work remotely up to 2 days per week.
