The Opportunity

Reporting the VP, Shared Services, the Manager, Business Systems & Digital Strategy leads initiatives that modernize how Edmonton Community Foundation works by leveraging digital tools, improving business processes, and driving adoption of technology across the organization.

This role partners with departments to streamline workflows, enhance data-driven decision-making, and ensure the organization is fully leveraging its Microsoft and digital ecosystem. It bridges business strategy, operational improvement, and technology enablement, helping the organization adopt digital tools and redesign processes to work more effectively and efficiently.

This is a supervisory role providing leadership to the organization’s Business Analysts responsible for the organization’s CRM platform and managing the relationship with ECF’s external IT service provider.

Key Roles & Responsibilities

Digital Strategy, Innovation & Change Management

  •  Identify opportunities to leverage technology to improve operational efficiency and organizational effectiveness.
  • Evaluate new tools and technologies that could enhance business processes.
  • Support exploration and responsible use of emerging technologies such as AI-enabled tools.
  • Develop and maintain organizational policies related to emerging technologies, including AI, ensuring responsible, ethical, and secure use across the organization while supporting responsible experimentation and continuous improvement in how technology is used.
  • Lead change management efforts to ensure successful adoption of new systems, tools, and processes.
  • Develop training resources and support staff in adopting new digital tools.
  • Promote a culture of continuous improvement and digital literacy across the organization.

Digital Workplace & Microsoft Ecosystem

  • Lead the ECF’s transition to a fully integrated Microsoft 365 digital workplace, including the migration from a network server to SharePoint and the adoption and optimization of tools such as SharePoint, Teams, Planner, Power Automate, Power BI, and Microsoft Project, working closely with the organization’s external managed IT service provider to ensure solutions are designed and implemented to meet organizational needs.
  • Establish and maintain standards and governance for digital tools to ensure consistency across the organization, while enabling teams to explore and adopt emerging tools and approaches where they add value, in an ethical and responsible way.
  • Develop, implement, and maintain policies and guidelines related to the use, governance, and security of digital workplace tools and collaboration platforms, supporting responsible and ethical experimentation and continuous improvement in how technology is used.
  • Identify opportunities to automate manual processes using Power Automate and related technologies.
  • Support the development of a cohesive digital workplace that improves collaboration, document management, and workflow efficiency.

Business Process Improvement & Workflow Optimization

  • Partner with internal teams to map, analyze, and redesign key business processes to improve efficiency and effectiveness.
  • Identify opportunities to streamline workflows using digital tools, AI and automation.
  • Lead cross-departmental improvement initiatives aimed at improving operational effectiveness.

Data & Reporting Enablement

  • Support the effective use of organizational data by ensuring systems and digital tools produce consistent, reliable, and accessible information for reporting and analysis.
  • Work collaboratively with the Impact Assessment team and other departments to align systems, workflows, and data structures with reporting and evaluation needs.
  • Identify opportunities to improve how data flows between systems and tools used across the organization.
  • Promote consistent approaches to data capture, reporting tools, and dashboard usage across teams.

Business Systems & IT Leadership

  • Provide leadership and direction to internal Business Analysts responsible for the organization’s CRM platform (Salesforce).
  • Ensure digital ecosystem effectively supports organizational needs including donations, grants management, reporting, and operational workflows.
  • Manage ECF’s relationship with its managed IT service provider, ensuring effective delivery of IT support and services.
  • Coordinate with external technology vendors and partners to support system implementation and maintenance.
  • Serve as the internal liaison between staff, leadership, and external technology partners.
  • Develop, maintain, and oversee organizational IT policies related to technology use, security, data governance, and system access, working closely with external IT providers to ensure policies reflect best practices and regulatory requirements.

The Ideal Candidate

As the ideal candidate, you will possess the following qualifications:

  •  A university degree in Information Systems, Computer Science, Operations Management, Commerce, Business Administration, or a directly related field.
  • A minimum of seven years of progressively responsible professional experience in business systems, digital transformation, or operational improvement, including a minimum of three years of leadership experience.
  • A proven track record leading digital transformation or operational improvement initiatives, including the implementation and adoption of enterprise systems and digital tools.
  • Strong knowledge of Microsoft 365 tools, including SharePoint, Teams, Power BI, and Power Automate, and experience supporting their implementation and adoption across an organization.
  • Equivalent combinations of related post-secondary education and directly related work experience will be considered.

Additional requirements include:

  • Experience overseeing or contributing to the implementation, integration, and lifecycle management of enterprise hardware and software systems, including working with external IT providers to support system upgrades, maintenance, and security.
  • Experience supervising or mentoring analysts or technical staff.
  • Demonstrated experience mapping, analyzing, and redesigning business processes to improve operational effectiveness.
  • Experience working with enterprise systems such as CRM platforms. Experience with Salesforce, Sage, and/or SmartSimple will be considered an asset.
  • A proven ability to translate business needs into technology-enabled solutions.
  • Strong stakeholder engagement, communication, and change management skills.
  • Experience working across departments to lead change and continuous improvement initiatives.
  • A PMP, Prosci, Lean or Six Sigma certification would be considered an asset.
  • Experience managing technology vendors or external service providers will be considered an asset.
